Saint Benedict Cathedral Parish
Rental Guidelines
Saint Benedict Cathedral Parish has several facilities available for rental. The purpose of these guidelines is to ensure that the facilities will serve the Diocese, the Parish, and the School in an equitable and practical manner.
These Guidelines may be amended at any time by the Facilities Committee with the approval of the Parish Council(?).
The various facilities are available for rental by members of the Parish. The facilities are also available for non-members of the Parish on a limited basis with the approval of the Pastor.

General Information:
· To qualify for the Parish Rental Fee, the renting party or their parents must be a registered member of the Parish twelve months prior to the rental date.
· Events must not exceed eight hours in length and must be completed by midnight.
· The Rental Contact Person must be contacted by the Rental Group to arrange for set-up time and to confirm the beginning and ending times for the event. Only the Rental Contact Person will unlock and secure the facility as needed.
· The Rental Contact Person will be present during set-up. Set-up time is limited to three hours. Set-up can be done the evening before if there is no schedule conflict. Set-up on the event day cannot begin before 10:00 AM, nor more than five hours before the event.
· The Rental Party must provide all labor, including moving tables. The Rental Party is responsible for removing all decorations. Only masking tape may be used for decorations. No decorations are to be attached to walls. All food/beverages must be removed the day of the event or will be discarded by the clean up crew.
· The Rental Party will be held responsible for any damage to equipment, furnishings or facilities.
Insurance:
Additional insurance may be required depending on the type of event. The Parish Secretary will advise you as to the insurance coverage necessary for your event.
Alcoholic Beverages:
1. Beer and wine:
· The Renting Party must obtain a Temporary Beer/Wine Permit from the Indiana Alcoholic Beverage Commission.
· A licensed bartender must be present. The State of Indiana does not allow self-service.
· If you do not engage a licensed bartender, you must designate a member of your party to be responsible for the event and a Temporary Bartender Permit must be obtained. This person will be held liable for:
+ the propriety of the service of beer and wine,
+ for any violations of the code,
+ for any alcohol-related accidents caused by any persons served with an improper amount of alcohol at your event.
2. Liquor:
· If you serve hard liquor at your event you must engage an Alcoholic Beverage Licensed Caterer to your event.
3. Engaging an Alcoholic Beverage Licensed Caterer is the simplest way to ensure compliance with the laws and can be the least expensive in the long run, especially if you place any value on peace of mind.
4. It is your responsibity to arrange for compliance with the above rules. Proof of compliance must be submitted to the Parish Secretary at least 15 days prior to the event. The following items must be presented (depending on the choices you make):
· A copy of your Temporary Beer/Wine Permit
· The name of your licensed bartender
· A copy of your Temporary Bartender Permit
· The name of your Alcoholic Beverage Licensed caterer.
The following facilities are available for rental:
The Woodward Center in St. Benedict Hall:
· Accommodates 278 people with tables and chairs.
· Accommodates 595 people with chairs only.
· Kitchen is available.
· Parishioner fee: $450.00 plus $115.00 insurance if applicable.
· Non-Parish fee: $650.00 plus $115.00 insurance if applicable.

The Holy Family Room in St. Benedict Hall:
· Accommodates 54 people with tables and chairs.
· Accommodates 117 people with chairs only.
· Kitchen is available.
· Parishioner fee: $130.00 plus $115.00 insurance if applicable.
· Non-Parish fee: $250.00 plus $115.00 insurance if applicable.

The Cafeteria in St. Scholastica Hall:
· Accommodates 567 people.
· The smaller, South Kitchen, not the large North Kitchen, is available for use.
· Parishioner fee: $450.00 plus $115.00 insurance if applicable.
· Non-Parish fee: $650.00 plus $115.00 insurance if applicable.

The Raven’s Roost in St. Meinrad Hall:
· Accommodates 207 people with tables and chairs.
· Accommodates 445 people with chairs only.
· Kitchen is available.
· Parishioner fee: $150.00 plus $115.00 insurance if applicable.
· Non-Parish fee: $250.00 plus $115.00 insurance if applicable.

The Auditorium
Currently the Auditorium is available for rental on a very limited basis. The
recommended fee schedule is as follows:
Parishioner fee: $600.00 plus $115.00 insurance if applicable.
Non-Parish fee: $800.00 plus $115.00 insurance if applicable.
Due to type of activities in this facility, the Pastor will have the final decision on the
appropriateness of the activity and the amount of the fee/insurance.

St. Benedict Cathedral Parish
Designated Rooms
The following rooms have been designated for various school and parish activities. Any changes to this list must have the approval of the Facilities Committee. All rooms must be reserved at the Parish Center: 812-425-3369. Those groups who use designated rooms on a regular basis must still reserve their room at the Parish Center. This is essential since so many different rooms can be used by various parish groups. The only way to be assured that your group will have a place to meet is by reserving the room.
SAINT BENEDICT HALL
Woodward Center (278): 1st Floor
1. This room can be used for the following types of activities:
· Parish Meetings/Receptions, including large bereavement luncheons.
· Diocesan Meetings/Receptions
· School Meetings/Receptions
· May be rented for Wedding Receptions (see Rental Guidelines)
2. The Woodward Center is not intended for small groups or for youth activities. It is primarily dedicated to more formal, adult groups.
Holy Family Room (54): 1st Floor
1. The Holy Family Room is to be the primary place for bereavement luncheons. Large bereavement luncheons can use the Woodward Center.
2. The Holy Family room can also be used for smaller meetings and receptions. This room is primarily for small, adult gatherings.
The Cathedral Room (47): 2nd Floor
1. The Cathedral Room is primarily a meeting room for adult groups.
2. This room will be used as the Teachers’ Meeting Room on School days.
3. The Cathedral Room will be the location of Parish Council Meetings and other Parish group meetings.
SAINT MEINRAD HALL
The Raven’s Roost (207): 1st Floor
1. The Raven’s Roost should be the primary room for youth-centered activities.
2. The following youth activities will meet in this room on a regular basis:
· Boy Scouts, Cub Scouts
· Key Way
· Youth Group Activities

1. This Activity Room will be used by the School during the School day.
2. This room may be used by both adult and youth groups at non-school times.
SAINT SCHOLASTICA HALL
Cafeteria (567): 1st Floor
1. The Cafeteria will be used by the School on School days.
2. Available for use for Diocesan, Parish, and School activities.
3. This room may be rented for larger receptions (see Rental Guidelines).
Auditorium: (800): 1st/2nd Floors
1. The Auditorium is used during the School year for plays, musicals and band activities.
2. It is available for Diocesan, Parish and School functions.
3. The Auditorium may be rented for large gatherings (see Rental Guidelines).
Activity Room (25): 2nd Floor
1. This Activity Room will be used by the School during the School day.
2. This room will be used on a regular basis by:
· Parish Script program on School days.
· Girl Scouts and Brownies.
